16 May Some Communications are Just too Important not to be Delivered. Enter Bounce2Print™
We are all aware of the ongoing debate most businesses engage in when it comes to sending critical business communications: Should we send them in print or via a digital platform? The truth is that you don’t have to choose between one or the other. Both can be a part of your communications strategy when leveraged properly. The main goal is to ensure your messaging is reaching your target audience, no matter how you choose to deliver it.
But what happens if you choose the digital route, and the document is rejected by a recipient’s mail server? Some communications are just too important not to be delivered. At DATAMATX, we realized that, so we developed a solution that solves the dilemma with a process that reroutes bounced emails. We call it Bounce2Print™.
Bounce2Print is a service that offers a way to reprocess a client’s failed communications (those that are confirmed to have “bounced”) through an existing print application, ensuring successful delivery of the document to the customer when the default electronic delivery method is unsuccessful. Some of you became aware of this solution last year and are already enjoying the peace of mind it brings. If you haven’t yet been introduced to the benefits of Bounce2Print, here is how it works:
Bounce backs are typically received within 8 hours of the initial send. Once “bounce” reporting is received, the input data files residing in the Bounce2Print input file repository are compared with the return entries and any matches will trigger a new print job to be created from the original input data—but only for matching records. The result is a winning strategy for your business and your customers.
For example, if the quantity of the original eDistribution run was 1,000 records, and 25 returned “bounce” data, then the resulting Bounce2Print production file would contain only those 25 records. The result? Those 25 recipients who are opted in for eDistribution communications will receive a printed document. This will persist with each production run until the root cause of the failed eDistribution is resolved.
Additionally, to limit customer calls inquiring why they received the printed piece, you can add a customized message like the one below:
“Due to problems encountered with the electronic delivery of your documents, and to ensure
your timely receipt of these important documents, you are receiving this printed hardcopy.
Please contact your Sample Corporation representative at 555-555-1234 to correct this issue at
your earliest convenience.”
When you sign up for Bounce2Print, you gain secure delivery from bounce to finish, easy reconciliation and reporting, and assurance that your critical documents reach their intended recipient, even when the preferred electronic means of delivery fails.
