Duties and Responsibilities

SUMMARY: In this role, you’ll assist in managing the department and daily Mail / Distribution Services operations, ensuring quality service and the professional development of all associates. You will assist in overseeing client mail workflow priorities and ensure timely and accurate mail receipt and scanning of client transactions. All work adheres to and is managed in accordance with established quality and productivity guidelines and standards.

Duties Specific to Mail Operations:

  • Oversees 3 shifts within the Mail Processing Operation, approximately 75 staff, working with shift supervisors to coordinate labor, workflow, and client service level agreements.
  • Coordinates and monitors daily mail and scanning workflow to ensure all Mail/Distribution Services functions are performed on an efficient, timely basis and meet quality, productivity, SLA, and audit standards; reviews and prepares quality and productivity reports for management
  • Plans allocate, and monitors work and make decisions regarding employment, performance reviews, training and development, salary recommendations, and related employee actions
  • Interfaces with the internal and external client(s) to respond to questions regarding shareholder account issues, post office boxes, research, and scanning. Escalates mail or scanning exceptions with significant financial ramifications to senior management
  • Communicates with various support and Mail/Distribution Services departments to address shareholder and client inquiries
  • Reviews operating procedures and policies identify issues and make improvement recommendations to senior management
  • Manages the training and development of department personnel
  • Regularly monitors associates, progress and provides sorting, productivity, and quality feedback to direct reports
  • Oversees the utilization of all SCL, Pitney Bowes Metering, WorldShip, OPEX and IBML mail services/scanning applications and equipment, as directed by management
  • Monitors individual usage and provides feedback to associates, as well as vendors
  • Manages and participates in a variety of special projects, new product testing, and implementation
  • Partners with USPS, as well as work with operations in both East and Midwest for mail delivery

EDUCATION and/or EXPERIENCE:

  • Bachelor’s degree in Business Administration or Management preferred, or a related field required, or equivalent combination of training and experience
  • Or 3-5 years progressively responsible experience in the mail industry or a related field, with at least 2 years at a management level
  • Project management experience preferred

DUTIES AND RESPONSIBILITIES

Position: Operator of Bell+Howell high-speed mail inserting equipment. Prior experience in a mail shop and a 10 key skillset preferred.

Candidate: The right candidate will possess a strong commitment to produce quality work in a high-production environment. Computer skills and communications ability is also extremely important.

Shift: 7am – 3:30pm, Monday through Friday

Some flexibility to work later in the afternoon on occasion is required.

Position is full-time and hourly. This position pays $12-15/hour depending on experience.

This position is responsible for operating and monitoring mail insertion machines and ensuring that all mail pieces meet established quality standards.  Duties include running the mailing equipment, scanning and entering data into our job tracking system, and completing required documentation for each job.
